Re: SSV Direct Distribution Advisory #2

Due to delays within the Centers for Disease Control and Prevention (CDC) Direct Distribution process, the target transition date for direct distribution of January 29, 2007, has been pushed back. In a previous State Supplied Vaccine (SSV) Direct Distribution Advisory we requested that each provider submit a December vaccine order that would be sufficient to carry its practice through the beginning of February. Due to these setbacks within the CDC, we ask that you disregard our previous ordering instructions and continue ordering your vaccine supply the same way you have been.

Despite these delays at the national level, the Department of Health has decided to move forward with delivering monthly orders to all SSV Providers effective early January 2007. The process will work as follows:

Rhode Island Department of Health Distribution Process

  • SSV Providers will submit their monthly vaccine orders and temperature logs for review to the Department of Health via fax 401-222-3805 or email: vaccine@health.ri.gov
  • Within 2-3 business days of receipt of an order, the Department of Health staff will review and return orders with a status of "Approved" or "Denied".
    • If your order is "Approved" an "Expected Delivery Date" will be noted at the bottom right of the returned order form.
    • If your order is "Denied" an explanation will be sent along with the denied order form.
    • If you do not receive an "Approval" or "Denial" within 2-3 business days, please call Paul McKiernan at 401-222-4639 so that we may confirm receipt of your order request.
  • Vaccines will be shipped via a local courier service directly to the practice's delivery address listed on the 2007 SSV Enrollment Practice Profile. If your enrollment is not complete by December 31, 2006, your 2007 orders will be denied until the enrollment process is complete.
  • Providers are allowed to order vaccine no more than once per 30-day cycle. Additional orders within the 30-day cycle will be denied so please be sure to set your "par stock" quantities adequately (see below).

Par Stock Quantities

  • Your par stock number should represent the amount of each vaccine that you anticipate your practice would use over the next 60-day period. By having a 60-day par stock and ordering every 30 days, your practice will always have at least a 30-day supply of vaccine on-hand. Each month your order will be filled based on your "par stock" number minus your "doses on-hand" quantity.
